Apostille or consular legalisation?

Türkiye has been a party to the Hague Apostille Convention since 1985. Where the other country is a party as well, an apostille on the document is enough; where it is not, consular legalisation is required.

The form of certification for Qatar may have changed recently. Confirm against the official list before you apply; consular legalisation applies where it is still required.

The order matters
  • 01 Obtain the document from the issuing authority The civil registry office, the university, the courthouse — the source document must be an original.
  • 02 Have the apostille or legalisation added The governor's office for administrative documents, the judicial justice commission for judicial ones. This step comes BEFORE the translation.
  • 03 Have the sworn translation made Prepared in line with the licensed translation office regime that applies for Qatar.
  • 04 Notarisation, where required If the institution asks for it, the translator's signature is certified by a notary.

Your employer runs the process, not you

For people going to Qatar to work, the applicant is usually not the individual but the employer. That changes the whole rhythm of document preparation: what is asked of you comes on the employer’s timetable, generally at short notice and in complete form. Since a delay causes trouble in the employer’s file rather than in yours, there is little tolerance for it.

The right strategy here, then, is to prepare before you are asked. Once the interviews start going well, have the attestation chain completed for your diploma, your experience certificates and your criminal record certificate. Having a set ready in hand when the list of documents arrives brings the process forward not by days but by weeks.

Passing on the employer’s list to us exactly as you received it also makes our work easier; the wording of such lists usually gives away which level of certification is expected.

The professional licence: a stage beyond the diploma

If you are going to work in engineering, healthcare or a similarly regulated field, recognition of the diploma may not be enough on its own; a separate authorisation stage comes into play before you may practise. That stage has a document list of its own and generally expects the diploma, the academic transcript, experience certificates and professional chamber records to be submitted together.

The point at which these files most often stick is the equivalent of the professional title. Where degree programme names and titles in Türkiye have no exact counterpart, the course descriptions become the decisive evidence. This holds with particular force in the engineering sub-disciplines: what shows the field you are qualified in is not the diploma but the curriculum.

If you are registered with a professional chamber, translating the registration document, and any authorisation certificates you hold, strengthens the file. Such documents are easy to obtain in Türkiye, but abroad they count for nothing unless what they mean is spelled out; the scope of the document has to be visible in the translation.

Bringing your family with you

In family residence applications two groups of documents are assessed together: the civil status documents that establish the family tie, and the employment documents that show your own standing. The second group is usually supplied by the employer; the first is entirely your responsibility and has to be brought from Türkiye.

The completeness of the attestation chain on marriage and birth certificates is the point most often overlooked in family files. School enrolment for the children may also call for educational documents and health records; adding these to the first set spares you the scramble at the start of term.

Documents against purpose

PurposeDocumentsPoint to watch
WorkDiploma, academic transcript, experience certificates, registry recordThe employer’s timetable does not bend, so prepare early
Professional authorisationCourse descriptions, chamber registration, authorisation certificatesThe equivalent of the title has to be backed by the curriculum
Family residenceMarriage and birth certificatesThe attestation chain must be completed separately for each document
School enrolmentEducational documents, health recordsLeft out of the first set, it ends up being rushed later
TradeRegistry record, contract, power of attorneyThe scope of authority must be written out plainly
This is the general framework; the definitive list should be obtained from the institution concerned or from the employer.

Where should the translation be done, and how does the process run?

Because the official Arabic translation is expected to be produced through a licensed office, the work to be done in Türkiye consists mostly of obtaining the original of the document, completing the attestation chain and, where necessary, preparing an English set. Knowing that division from the outset keeps you from paying twice. Bearing in mind that the form of attestation may have changed in the recent period, confirm the current position from an official source.

Upload your documents and we will go through them alongside the employer’s list to settle what is done here and what on the spot; you can also see the per-page rates at the outset.

You need documents on the way out as well

Most people plan their document preparation for the outward journey only, yet a further set of documents comes into being at the end of the posting, and it bears on the rest of your career. First among them is the employment certificate showing the length of your service, your title and your duties. Your next employer, whether in another country or in Türkiye, will ask for it.

Collecting the document as you leave is far easier than requesting it remotely afterwards. Once the company has been restructured or the people with authority have moved on, obtaining a document retrospectively becomes unexpectedly hard. Picking up the employment certificate, and any reference letters, before your leaving date wipes out the difficulty before it can arise.

When these documents are translated into Turkish or into English, the critical thing is that the title and the description of duties come across clearly. Those two pieces of information are what decide matters both when foreign experience is assessed in Türkiye and when you move on to another country. If the document gives nothing but the dates of employment, the substance of your experience stays invisible.

Social security and payroll records should be kept for the same reason; they may be needed later in pension or recognition procedures. Before you leave the country we also advise keeping a scanned copy of every document you hold; when an original goes missing, the scan is the starting point for obtaining a replacement.

The account below summarises typical practice; each consulate applies its own current guidance. We advise obtaining the latest position from the authority that will handle the procedure.
