Accreditation system

Document Translation for China

The translation must be produced by a company that is officially registered and holds a translation seal; a declaration by an individual translator is not accepted. Apostille practice began recently, so confirm the current position.

Certification regime

Which translations does China accept?

A translator accredited by a particular body is required. For a translation made in Türkiye to be valid in China, it has to be prepared in line with that regime.

Apostille or consular legalisation?

Türkiye has been a party to the Hague Apostille Convention since 1985. Where the other country is a party as well, an apostille on the document is enough; where it is not, consular legalisation is required.

The form of certification for China may have changed recently. Confirm against the official list before you apply; consular legalisation applies where it is still required.

The order matters
  • 01 Obtain the document from the issuing authority The civil registry office, the university, the courthouse — the source document must be an original.
  • 02 Have the apostille or legalisation added The governor's office for administrative documents, the judicial justice commission for judicial ones. This step comes BEFORE the translation.
  • 03 Have the sworn translation made Prepared in line with the translation company holding an official seal regime that applies for China.
  • 04 Notarisation, where required If the institution asks for it, the translator's signature is certified by a notary.

A seal, not a signature: the translation is done by an organisation, not a person

China takes a fundamentally different view of official translation from the sworn translator logic of Europe. Responsibility rests not with an individual but with an organisation: the translation is expected to be produced by an officially registered company and to bear that company’s translation seal. However experienced an individual translator may be, a signature and declaration of his or her own carry no weight within that framework. This is precisely the most common ground on which files sent from Türkiye are refused.

In practice a copy of the document showing that the translating company is registered may also be required with the translation. Two things, in other words, are looked for in the file: a sealed translation, and visibility of who applied the seal. Without those two, the file counts as incomplete regardless of what it contains.

The practical consequence is this: the set prepared in Türkiye will usually be in English, and the official Chinese translation is completed on the spot. Our real work here is to make the original document and its certification chain flawless, and to fix the terminology in a form that can be used consistently at the later stage.

Your company’s Chinese name is its official name

In commercial files the point most often overlooked, and the one that causes the most trouble afterwards, is the Chinese form of the company name. Once registered, the Chinese name is the valid name in every official record in the country; saying later that “it was meant to read this way” gets you nowhere. Choosing the name is therefore not a translation decision but a registration decision, and it should be taken together with legal counsel.

The same discipline applies to product names and to trade mark and patent documents. Whatever rendering is used in one document must be preserved in all the others; differing renderings lead to the same product being read as several different products. In intellectual property files that inconsistency can turn directly into a loss of rights.

Personal names are in much the same position: once the Chinese spelling of your name has entered the records, the same spelling is expected in every subsequent transaction. The decision taken in the first translation follows you for years.

What is asked for in student and employee files?

For applications made for study purposes, medical documents and the criminal record certificate come into play alongside the diploma, the academic transcript and the admission correspondence. For applications made for work, the file is heavier: diploma, evidence of experience, criminal record certificate and medical report are assessed together. Documents evidencing experience must state the period worked and the position held explicitly; vague wording works against you in assessments based on points.

There may also be a separate stage for verification of the diploma. This is not a step that replaces the translation but a layer added to it, and it has a timetable of its own. Whether your graduation details can be confirmed at source is what decides matters at this stage.

Short-lived documents such as the criminal record certificate and the medical report should be left until last; a document obtained too early may have lost its validity by the day of the application.

Documents by purpose

PurposeDocumentsCritical point
StudyDiploma, academic transcript, medical and criminal record documentsShort-lived documents should be left until last
WorkDiploma, evidence of experience, criminal record certificateLength of experience and job title must be stated clearly
FamilyMarriage and birth certificatesThe spelling of the name must match the first record
CommercialTrade registry record, contract, power of attorneyThe company’s Chinese name is a registration decision
Intellectual propertyTrade mark and patent documentsRenderings of terms must be kept fixed across all documents
This is the general framework; the definitive requirement is set by the institution handling the matter.

Order, certification and timing

Obtain the original document, complete the certification chain, have the English set prepared, and if an official Chinese translation is needed, ask your contact where it is to be done. Because certification practice may have changed recently, you need to confirm from an official source which form is currently valid; the notice at the top of the page points to the same thing.

The translation step is finished within a few working days depending on the number of pages; what lengthens the process is the certification stages and the layers of verification. Upload your documents and we will pin down which set is to be prepared here; see the per-page rates up front as well.

The other direction: using documents obtained in China in Türkiye

For those coming home after finishing their studies or their posting, the traffic turns the other way. For a diploma, marriage certificate or company record drawn up in China to be usable in Türkiye, it has to be translated into Turkish and approved in the manner required here. Turkish translations done in China are in most cases not accepted by institutions here; the problem lies not in the language but in the manner of approval.

The most practical approach when preparing for the return is therefore to bring the document untranslated but with its certification chain complete. Completing the translation step in Türkiye removes the procedural difficulty and matches the form required for the recognition application directly.

Applications for recognition of a diploma also call for the academic transcript and the course descriptions. These need to be obtained in sealed form before you leave the institution; requesting them remotely after graduation is far slower going. It also helps if Chinese documents carry the Latin-script forms of personal and institutional names.

With company documents you may need a record showing that the registered Chinese name and the English name you use belong to the same legal person; where that link is not established, the two names read as two separate companies.

The account below summarises typical practice; each consulate applies its own current guidance. For the conditions in force, consult the institution’s current list of required documents.
