Personal data processed

• Identity and contact data: name, e-mail address, telephone number and billing address; for corporate orders, the company’s registered name and tax details.
• Document content: the data contained in the documents you send us for translation. Those documents may contain special categories of personal data, such as identity, education, health and criminal record information.
• Transaction and usage data: order records, payment references, session and security logs.

Purposes of processing

• Providing the translation and certification service you have requested,
• Forming and performing the contract, and issuing quotations and invoices,
• Carrying out official steps such as notarisation and apostille,
• Meeting statutory retention, accounting and tax obligations,
• Responding to requests and complaints, and monitoring service quality.

Legal grounds

Your personal data are processed on the grounds that processing is necessary for the formation and performance of the contract, that it is required in order to comply with a legal obligation, and that it serves the legitimate interests of the data controller. Any special categories of personal data contained in your documents are processed for the purpose of performing the service and on the basis of your explicit consent.

Transfers

To the extent the service requires it, your data may be transferred to sworn translators and editors, to the notary’s office concerned where notarisation has been requested, to the competent administrative authority where an apostille is required, to the courier company in the case of physical delivery, and to public authorities empowered by law. Beyond that they are not shared with third parties and are never transferred for marketing purposes.

Your documents are not uploaded to publicly available machine translation services without your explicit consent.

Retention period

Documents and order records are retained for the periods laid down in the applicable legislation. Once those periods expire they are deleted or anonymised. At your request, documents not subject to a statutory retention obligation are deleted before the period expires.

Security

The documents you upload are stored in encrypted form and access is confined to the staff working on the translation concerned. Access records are kept. Transmission is encrypted using SSL.

Your rights

Under the KVKK you have the right to learn whether your personal data are being processed, to request information about them, to learn the purpose of processing, to know the third parties to whom they have been transferred, to have them corrected where they are incomplete or inaccurate, to request their erasure where the conditions for it are met, to require that these steps be notified to the parties to whom the data were transferred, to object to a result reached against you through analysis by automated systems, and to claim compensation where you have suffered loss.

You may send your requests to info@tercu.me, or create a data download or erasure request from the security area of your account. Applications are concluded within the period prescribed by the legislation.
