Which translations does Austria accept?

A translator authorised by a court or a ministry is required. For a translation made in Türkiye to be valid in Austria, it has to be prepared in line with that regime.

Apostille or consular legalisation?

Türkiye has been a party to the Hague Apostille Convention since 1985. Where the other country is a party as well, an apostille on the document is enough; where it is not, consular legalisation is required.

Austria is a party to the Hague Convention — an apostille on your documents is enough.

The order matters
  • 01 Obtain the document from the issuing authority The civil registry office, the university, the courthouse — the source document must be an original.
  • 02 Have the apostille or legalisation added The governor's office for administrative documents, the judicial justice commission for judicial ones. This step comes BEFORE the translation.
  • 03 Have the sworn translation made Prepared in line with the gerichtlich beeideter Dolmetscher regime that applies for Austria.
  • 04 Notarisation, where required If the institution asks for it, the translator's signature is certified by a notary.

Translation languages and rates for Austria

The mistake made most often by people preparing documents for Austria is to assume that, because the language is the same, a file put together for Germany will do here as well. The language of the text really is German, but the authority that certifies it, the set of documents required and the logic of the assessment are all different. This page sets out what is distinctive about Austrian files.

Grounds for refusal peculiar to Austria

Some of the files that come back from Austria consist of translations that are technically flawless but certified in the wrong place. The rest stem from missing paperwork in points-based applications, where the document fails to show what a claim rests on. The two have one thing in common: the file is returned without the accuracy of the text ever being discussed. In preparing for Austria, then, the real issue is not the quality of the translation but the framework it sits in.

  • A translation certified in another country. You will be asked where the German translation was certified and by whom; a translation certified within another country’s system is not automatically treated as valid.
  • A scored attribute left undocumented. In skilled worker applications, age, education, language and experience are converted into points; where a claim of experience is not supported by an employment record, no points are awarded.
  • The scope of the language certificate. It must be clear at what level German or English proficiency was attained and from which institution; the certificate itself may need translating too.
  • The date of the document. Income, registry and marital status documents are expected to be current; an extract obtained a few months ago may be regarded as out of date.

Document sets by purpose of application

Student, employee and family applications in Austria proceed on different logic. In a student file the weight falls on academic history, in an employee file on proof of qualification.

Why the official register of translators is decisive

Austria takes the identity of the person doing the translating as seriously as the document itself. The signature and seal of a translator entered on the register give the translation its official character; a text from outside the register does not acquire that status, however accurate it may be. For translations made in Türkiye, therefore, how the chain of certification is to be built has to be planned from the start. To settle which route your document should take, send it to us; we will determine the appropriate form of certification together, according to the receiving institution.

Additional conditions in a university application

Austrian universities frequently ask candidates from abroad not only for the diploma but also for documents showing what right of access to higher education that diploma confers in its own country. For applicants from Türkiye this means that the central examination result and the placement document go into the file alongside the secondary school diploma. In translating them, the name of the examination, the type of score and the placement outcome have to be conveyed in clearly intelligible form; fields left as abbreviations create gaps at the other end.

In master’s applications the weight shifts to the academic transcript and the course descriptions. Where the match between fields of study is open to argument, the university may ask for extra or supplementary courses; the main document it looks at in reaching that decision is the translated curriculum. A full translation of the descriptions, rather than a summary, improves the chance of a decision in your favour.

Planning the timetable

Three items determine the overall duration of an Austrian application: the certification step for the document in Türkiye, the translation, and the assessment timetable of the receiving institution. The first two can be planned; the third cannot. In university applications the semester deadlines are fixed, and if a file arrives incomplete you may not have a second chance, so the calendar has to be built backwards. In practice the greatest delay is met with in requesting course descriptions or a certified transcript from the university in Türkiye; starting that request before the other steps shortens the total time.

  1. Obtain the receiving institution’s document list and closing date in writing.
  2. Complete any missing documents through the institutions in Türkiye; requesting course descriptions from the university is the longest step.
  3. Complete the certification annotation before the translation.
  4. Complete the translation and the necessary certifications, and send the file as a whole.

Do not confuse recognition with a residence application

In Austria the academic assessment of a diploma and an application for residence or a work permit are two separate processes, and their document lists do not overlap. In a recognition file the curriculum and the teaching hours come to the fore; in a residence file it is income, housing and health insurance documents that decide the matter. If you are going to use the same document in both processes, having more than one certified copy prepared is quicker as well as cheaper than having the translation done again later. To see the cost per copy in advance, look at our current rates.

Before you send your document

Take care that scans are full-page, uncropped at the edges and legible. The annotations on the back of the document, the QR codes and any handwritten notes are part of the translation too. Giving your first name and surname exactly as they are written in Latin characters in your passport makes it easier to match the records in Austria.

The account below summarises typical practice; each consulate applies its own current guidance. Verify the detail with the institution to which you will submit the paperwork.
