What this application usually calls for
The final list varies with the institution’s own announcement; the set below is a starting point.
On document translation rules Australia is one of the strictest countries in this list, and that strictness carries over into commercial files. This page covers the documents a company established in Türkiye will submit to an Australian registry, buyer or tendering authority. An Australian company structuring itself in Türkiye is a separate process, in which the documents are translated in the opposite direction.
Does the NAATI rule apply to commercial documents too?
Australia’s distinguishing rule is that official procedures call for a translation made and stamped by a NAATI-certified translator. It is applied at its strictest in migration and official application files; in commercial files it varies with who is at the other end. Public bodies, regulators and courts expect a NAATI stamp. Private-sector buyers and distributors will in most cases accept an agency-stamped translation. The way to remove the risk is to establish at the outset which door the file will go through; having the same document translated twice is the most expensive solution of all. One more practical point: on a stamped translation the translator’s certification number and its validity details must be visible, because institutions are able to verify that number.
Company registration: ASIC and a world of numbers
Companies in Australia are entered on the register held within the national regulator, and each company has identifying numbers of its own; business life runs largely on those numbers. What is expected of a Turkish company is records that carry the same information: a recently dated certificate of activity from the trade registry directorate, the notice in the Turkish Trade Registry Gazette, the articles of association and the signature circular. Setting out your tax identification number and your MERSİS number in the covering letter speeds the file along, because it matches the number-centred habits of the other side. Operating in Australia may also call for local registration, and that registration produces a document set of its own. Where a foreign company is registered in the country, the parent company’s articles of association, registry record and board resolution are required; a local representative able to accept service of documents in the country must also be appointed, and that appointment shown in the text of the resolution. In translating the resolution, the scope of the authority granted must be stated plainly.
| Recipient | Translation expected | Strictness |
|---|---|---|
| Regulator / court | NAATI-stamped translation | Very high |
| Public tender | The level stated in the specification | High |
| Bank | Certified translation, usually NAATI | High |
| Distributor / buyer | Agency-stamped translation | Medium |
What distance does to the paperwork calendar
There is a variable that Australian files often overlook: geographical distance and the time difference make rounds of correction far more expensive than in other markets. A physical set sent from Türkiye takes days to reach the other side, and when a missing page or the wrong level of certification comes to light, the cycle begins again. For files bound for Australia it is therefore established practice to show the electronic copy to the recipient and obtain approval first, and to send the physical set afterwards. The same logic holds for tender timetables; when you plan backwards from the closing date, count the postal time and the apostille step separately. And because the validity of documents is eaten away inside that same calendar, obtaining the registry record too early is a risk in itself.
Quarantine and product documents run on a separate track
Australia’s biosecurity regime is among the tightest in the world and generates an extra layer of paperwork for items such as food, agricultural produce and wooden packaging: phytosanitary certificates, treatment certificates, packaging declarations. These documents are issued in the formats of the administrations concerned, are supplied multilingually or in English, and do not enter the sworn translation process; they are verified through the certificate number and the issuing administration. Shipping paperwork, the invoice and the declaration of origin likewise never reach a translator’s desk. The translation chain is only for texts that create obligations. The undertakings you give on product safety and conformity with standards, by contrast, belong to the legal file rather than the technical one; they need to be submitted together with proof of signing authority.
Power of attorney, the apostille and the commonest ground for refusal
If a transaction in Australia is to be carried out by your local representative, have the power of attorney drawn up before a notary and its apostille obtained, and only then translated; the authority of the person granting it should be supported by a current registry record and signature circular. Australia is a party to the Hague Apostille Convention; verify the current list of parties through HCCH. The commonest ground for refusal is sending an unstamped translation in a file that requires the NAATI stamp. The date of the document comes second and an incomplete set third. Because the time difference makes rounds of correction so slow, getting the first submission right is worth more here than in other markets. You can send us your file through the quote form, see how scope affects the figure on our pricing page, and compare other markets in our country guide.
What is described here rests on common practice; national legislation and institutional practice can be updated. We recommend following the rules in force through official announcements.
