What this application usually calls for
The final list varies with the institution’s own announcement; the set below is a starting point.
The Same Profession May Be Regulated in One Canton and Unregulated in Another
The first fact to grasp when putting a work file together for Switzerland is that the system runs through the cantons rather than from a single federal centre. Residence and work permit procedures are conducted by the cantonal migration offices; authorisation to practise a profession, on the other hand, may be handled at cantonal or at federal level depending on the profession. The practical consequence is this: a profession may be tied to a separate permission in one canton while no such condition is looked for in the canton next door. There is, accordingly, no single list of “documents required for Switzerland”. The right method is to establish the canton the employer is in and to build the document preparation on that canton’s practice. Translations started before that has been settled mostly produce either gaps or work that was never needed.
The Canton’s Official Language Settles the Language of Translation from the Outset
Switzerland has German, French and Italian as official languages, and which of them applies is determined by the canton being applied to. In work files this weighs more heavily than in education files, because several documents at once (the employment contract, the social security employment record, the professional qualification certificate) have to be submitted together and in the same language. Putting a German translation before a French-speaking canton can lead to the file being returned on language grounds, correct content notwithstanding. In bilingual cantons the employer or the office concerned should be asked which language is preferred. For a general view of what the document set covers you can look at our document types page.
What the Notarised Translation Regime Means for a Work File
Rather than a central register of sworn translators, Switzerland commonly works on a structure resting on notarisation of the translation. The notary does not examine the content of the translation here; the notary attests the translator’s identity and signature. In work files that distinction gives rise to a concrete responsibility: the accuracy of the content belongs wholly to the translator, and a job description or a title carried across wrongly weakens the file even with a notary’s seal on it. Rendering professional terms, titles and institution names with their established equivalents in the target language is therefore more decisive than the form of certification. Some cantons also expect the document to be submitted together with its apostilled original.
The Order of Steps and What Is Asked for at Each Stage
| Stage | Counterpart | Documents to the fore |
|---|---|---|
| Job offer and contract | Employer | Diploma, social security employment record, reference |
| Professional authorisation (where required) | Competent professional authority | Qualification certificate, curriculum |
| Permit application | Cantonal migration office | Contract, identity and record documents |
| Visa stage | Swiss consulate | Approved permit decision and its annexes |
The order in the table shows the general tendency; cantonal practice and the nature of the profession can alter this flow. Whether the professional authorisation step is completed before or after the permit application, in particular, varies with what the employer asks for.
The Commonest Ground of Refusal: A File Prepared for the Wrong Canton
In practice the difficulty encountered most often is a file prepared on one canton’s practice and then submitted to another. Neither the language of translation nor the combination of documents required then fits, and the file has to be built again from the beginning. Second comes uncertainty in the translation of job titles: where the target-language equivalent of a Turkish title does not point to what the profession corresponds to in Switzerland, the assessor cannot see clearly which profession the candidate is applying for.
Preparation on the Türkiye Side: Where Each Document Comes From
A good part of Swiss files are held up because the right document was not obtained from the right authority in Türkiye. The original of the diploma and the academic transcript, or the certified copy issued by the university, comes from the higher education institution you graduated from; the social security employment record from the social security institution; and the employment certificate setting out the job description directly from the employer. Where there is a professional qualification certificate, it is obtained from the relevant professional body. The scope in which the criminal record certificate is obtained matters too; institutions mostly expect a record drawn up for use in official procedures and carrying archive information as well. A record obtained in the wrong scope, returned once it has been translated, wastes the cost of both the translation and the apostille.
The apostille annotation is obtained from different authorities according to the type of document: the governor’s office is competent for education and administrative documents, and the courthouse for judicial documents. Going to one authority without knowing this distinction and trying to have every document annotated there is a frequent waste of time. For files bound for Switzerland it should also be asked beforehand which document the canton accepts as an original and which as a certified copy; some cantons want the original produced, while others allow matters to proceed on a certified copy. That choice also determines which paper the apostille goes on.
This page is for general information; cantonal practice differs from canton to canton and changes over time, so confirm the current requirements from the official announcements of the cantonal migration office and the competent professional authority.
