What this application usually calls for
The final list varies with the institution’s own announcement; the set below is a starting point.
Where official translation is concerned, Hungary is one of the most distinctive countries on this list, because the authority to issue a certified translation is largely gathered into a single institution. This page deals with the documents a company established in Türkiye will put before the Hungarian commercial court register, before a buyer or before a tendering authority. A Hungarian company setting itself up in Türkiye is a separate file that runs in the opposite direction.
The monopoly on certified translation: the most critical thing to know
In Hungary the authority to produce a certified translation of official standing rests largely with the state translation institution. That means translations made by private offices may not be accepted at every institution, and it is one of the costliest surprises awaiting Turkish companies: a flawless translation can come back purely because of where it came from. Commercial correspondence and private-sector dealings know no such rigidity, and a stamped translation is used there without trouble. For entry in the register and for court and public procedures, however, asking at the outset where the certified translation has to be obtained is not optional. That single question is the step that saves the most time in a Hungarian file.
The commercial court register and Turkish documents
Company records in Hungary are kept before the commercial courts, and the extract taken from that register is the basic document of business life. What is expected from the Turkish company in return is a recently dated certificate of activity from the trade registry directorate together with the notice in the Turkish Trade Registry Gazette. The articles of association show the shareholding structure and the objects of the company, and the signature circular the authority to represent it. In registering a branch it is the parent company’s documents that move to the centre of things; in setting up a subsidiary the resolution of the founding shareholder’s competent body comes into play. The register is exacting about form and about dates, and an incomplete or out-of-date copy sends the file straight back.
| Use | Source of the translation | Risk |
|---|---|---|
| Entry in the register | Confirmation must be sought from the institution | The wrong source means outright refusal |
| Court and public procedures | Confirmation must be sought from the institution | High |
| Bank | Certified translation, varying with the institution | Medium |
| Commercial correspondence and supply | Stamped translation | Low |
Manufacturing investment and incentive files
Turkish companies investing in manufacturing in Hungary, or entering its supply chains, prepare investment and incentive files alongside their legal identity documents. These files hold the business plan, the undertaking on employment, financial projections and technical competence certificates. Texts in the nature of an undertaking should be submitted together with proof of signing authority and backed by a certified translation; for technical and promotional documents a stamped translation is generally enough. Because documents may have a limited period of validity in incentive applications, planning the timetable backwards matters, so as not to leave the apostille and approval steps in a crush.
Where is each document going? Divide the file in two
Given the way approval is structured in Hungary, the most efficient method is to divide the documents in two according to the use they will be put to. The first group is what will go into an official procedure: registration papers, texts to be placed before a court, public application files. For this group you find out from the institution that will handle the matter where the certified translation is to be obtained, and prepare accordingly. The second group is for commercial use: tender files, technical documents, distributorship correspondence, annexes to supply contracts. Here a stamped translation is used without trouble and the process runs much faster. Preparing the whole file at the highest level of approval without drawing that line means needless cost and needless waiting alike.
Logistics and cross-border trade files
Hungary is an important stop on the road route running from Türkiye into Central Europe, and a good many Turkish companies are setting up warehouses, distribution centres or logistics partnerships there. In such relationships the framework carriage and storage contracts, the limits of liability and the insurance and security clauses are what decide matters; these texts place an obligation directly on the parties and call for a certified translation. Consignment notes, transit declarations, proofs of origin and invoices, by contrast, are drawn up on multilingual forms or written in a foreign language from the outset, and never reach the translator’s desk. Drawing that distinction is the only way to keep the translation budget under control in a line of business that produces paperwork without pause.
The power of attorney, shipment, and the commonest ground of refusal
If a matter in Hungary is to be handled for you through your local representative, have the power of attorney drawn up before a notary, obtain the apostille, and only then have it translated; keep its scope narrow and support the authority with a current registry record. Hungary is a party to the Hague Apostille Convention; verify the current list of parties through the HCCH. On the shipping side, certificates of origin, movement certificates and consignment notes are not translated. The commonest ground of refusal is that the certified translation was not obtained from an accepted source; second comes the date of the document, and third an incomplete set. You can follow the particulars of each document on the document page, see what difference the scope makes on the pricing page, and send us your file through the quotation form.
This page is meant as a guide; countries’ approval regimes and the document formats they require may be updated over time. What governs is the requirement in force on the date of the transaction.
